How our team slashed the time spent in meetings

Our team is working more effectively than ever and spending less time in meetings than ever.

I did the math. Since the beginning of this year, our six-person team saved around 10% of our time each week by simply using the Empwr.ai Team Assistant we built (aka dogfooding our own product), allowing us to cancel one meeting per week and reduce the size of two others.

If you scaled this efficiency to an organization 10X our size, you’re looking at many hundreds of thousands of  dollars in savings in less than a year. There are so many impactful investments an organization could make with 10% more human capital.

It turns out that when everyone on the team is consistently briefed with neutrally written outcomes from every business interaction, meeting FOMO evaporates and some meetings become totally unnecessary. When meeting outcomes are shared across our team, everyone is caught up and information can be disseminated immediately and we didn’t need another meeting to do it.

Meetings are a sore spot in corporate culture. The phrase, “This meeting could have been an email,” has become an overused corporate cliche. It is routine that workers spend hours in back-to-back Zoom calls. In May 2023, the Wall Street Journal reported that “workers now spend two full days a week on email and in meetings.” Remote and hybrid workers feel this pain more than others. Not only are too many oversubscribed meetings painful to sit through, but the lack of informal information sharing “around the water cooler” exacerbates information silos.

When we embarked on Empwr.ai we first built an AI meeting summarization tool to capture unstructured meeting data. After consistently dogfooding it as a team and watching how others used the tool, we observed that when a given meeting outcome was shared with people who DID NOT attend the meeting, it generated the most efficiencies for that team. That insight led us to focus on building collective knowledge and alignment for teams and organizations instead of creating yet another personal AI notetaker.

We’re now laser-focused on building a team-focused AI agent that breaks down silos and ensures everyone on the team is armed with the right information at the right time through the right channel. By doing this, we expect to bring even more efficiencies to our team and to yours.
